Event QR Code Generator (Calendar / iCal)
Make a QR code that adds an event to the calendar: title, time, time zone, place and notes as iCalendar, plus a matching .ics file. PNG and SVG.
An event QR code holds a whole calendar entry — title, start and end, place and notes — in iCalendar, the format calendar apps exchange. Put it on a poster, ticket or invitation and guests save the date without typing. The code and a matching .ics file are built in your browser; nothing you type is uploaded.
How to use this tool
- Enter the title, and optionally a location and a short description.
- Set the start and end date and time, or tick All-day.
- Pick the time zone of those times, or floating time for “09:00 wherever you are”.
- Choose size, output and error correction, then download the PNG or SVG and the .ics file.
Formula
BEGIN:VCALENDAR · VERSION:2.0 · BEGIN:VEVENT · SUMMARY · DTSTART · DTEND · LOCATION · DESCRIPTION · END:VEVENT · END:VCALENDAR
Lines end with CRLF (RFC 5545). Timed events are converted to UTC and written as YYYYMMDDTHHMMSSZ, which every calendar reads without extra time-zone data and shows in the viewer’s local time. All-day events use ;VALUE=DATE with an exclusive end: the day after the last day. Commas, semicolons, backslashes and line breaks are escaped as \, \; \\ and \n. On clock-change days a skipped time takes the offset before the change and a repeated time its first occurrence (RFC 5545); the tool says when that applies.
Example
A launch on 5 November 2026 from 09:00 to 10:30 in New York: US daylight saving time ends on 1 November 2026, so New York is on UTC−5 and the code contains DTSTART:20261105T140000Z and DTEND:20261105T153000Z. An all-day Christmas Day entry gives DTSTART;VALUE=DATE:20261225 and DTEND;VALUE=DATE:20261226.
Which phones add the event?
Support is uneven. Google Lens and most scanner apps recognise the event and offer to add it. The iPhone Camera app has handled calendar codes differently across iOS versions — sometimes offering to add the event, sometimes only showing the text. For iPhone-heavy audiences, also share the .ics file by email, or host it online behind a URL QR code.
Frequently asked questions
What is floating time?
An event without a time zone: 09:00 stays 09:00 wherever the phone is. Use it for reminders that follow the person; for meetings and shows, pick the venue’s time zone.
How long can the description be?
Everything must fit in one code — at most 2,331 bytes at level M — but a few hundred characters already make a dense code that is hard to scan from print. Keep it short and link to a web page for details.
Why does the .ics file have extra lines?
It adds PRODID, UID and DTSTAMP, which RFC 5545 requires and strict importers check. The QR code leaves them out to stay small; scanner apps do not need them.
